Privacy Policy

Effective October 6, 2026 · Last updated October 6, 2026

1. Who we are

SMFFL Kids is the youth flag football program of the South Miami Flag Football League ("SMFFL," "we," "us," or "our"), based in Miami-Dade County, Florida. This Privacy Policy explains what information we collect when you register a child for SMFFL Kids, how we use it, and the choices you have. It applies to our website, our registration and payment pages, our communications with families, and our in-person program.

For the SMFFL mobile app, the separate SMFFL App Privacy Policy also applies.

2. Children's privacy

SMFFL Kids serves children, but we collect information about children only from their parent or legal guardian. We do not ask children to create accounts, submit information online, or contact us directly. If we learn that a child under 13 has sent us personal information without a parent's involvement, we will delete it.

A parent or guardian can review the information we hold about their child, ask us to correct or delete it, and tell us to stop collecting or using it at any time by contacting us (see Section 12). Deleting required information may mean the child can no longer take part in the program.

3. What we collect

From the parent or guardian at registration:

• Parent or guardian name, phone number and email address
• Child's name, age or date of birth, and shirt size
• Emergency contact name and phone number
• Names of adults authorized to pick up the child
• Medical information you choose to share so coaches can keep your child safe, such as allergies or conditions a coach should know about
• Your signed waiver and photo/video consent choice

During the program: attendance, team or group placement, and photos or video taken at practices and games (see Section 5).

Automatically, when you visit our website: basic technical information such as browser type, device type and pages visited, collected by our website and hosting providers. We do not use this information to build advertising profiles.

4. How we use it

• Register your child and run the program
• Place your child in the right group by age and skill
• Contact you about schedules, cancellations, weather and program updates
• Respond in an emergency and share medical details with coaches or first responders when needed
• Make sure children are released only to authorized adults
• Process membership payments and handle billing questions
• Order shirts and other included items
• Keep the program safe and meet our legal and insurance obligations

We do not sell personal information, and we do not use children's information for advertising.

5. Photos and video

Practices and games may be photographed or filmed, including by our photography partner, Moonstone Creative Studios. We share these photos and videos with families and may post them on our website and social media (such as @smfflkids and @smffl on Instagram, and our YouTube channel) to promote the program.

When we post, we do not include a child's full name or any contact details. You can opt out of photos and video at registration or at any time by emailing us. If you opt out, we will make reasonable efforts to keep your child out of published content and will remove any post featuring your child that you ask us to take down.

6. Who we share it with

We share information only as needed to run the program:

• Coaches and staff who work with your child, who see only what they need (for example, names, groups, emergency contacts and medical notes)
• Service providers that help us operate, such as Stripe for sign-ups and payments, our website host, our email and messaging tools, and Supabase if you use the SMFFL app. They may use your information only to provide their services to us.
• Medical and emergency personnel when your child needs care
• Park and facility partners when they require a participant roster for permits, safety or insurance
• Authorities when the law requires it, or to protect the safety of a child or others

7. Payments

Membership payments are processed by Stripe. Your card or bank details are entered into Stripe's system and are never stored by SMFFL. We receive confirmation of payment, your name, email, phone number, your child's shirt size, and limited payment details such as card type and last four digits for billing records. If you pay with Cash App Pay or Klarna, those companies also process your payment under their own privacy policies. Stripe's handling of your payment information is covered by Stripe's own privacy policy.

8. How long we keep it

We keep registration information while your child is enrolled and for up to three years afterward for records, insurance and legal purposes. Signed waivers and incident records may be kept longer when the law or our insurer requires it. When we no longer need information, we delete it or remove identifying details.

9. How we protect it

We limit access to the people who need it, use trusted providers with security protections in place, and keep paper forms secure at the field. No system is perfectly secure, but we take reasonable steps to protect your family's information. If a breach ever affects your information, we will notify you as required by Florida law.

10. Your choices and rights

• See the information we hold about you or your child
• Correct anything that's wrong
• Ask us to delete your or your child's information, subject to records we're required to keep
• Opt out of photos and video
• Unsubscribe from non-essential messages. We will still send messages about schedule changes and safety.

Email us at the address below and we will respond within 30 days.

11. Changes to this policy

We may update this policy as the program grows. When we make a significant change, we will update the date at the top and let registered families know by email or text.

Terms & Conditions

Effective October 6, 2026 · Last updated October 6, 2026

1. Agreement

These Terms & Conditions are an agreement between you, the parent or legal guardian registering a child ("you"), and South Miami Flag Football League, LLC ("SMFFL," "we," "us"), for participation in SMFFL Kids. By registering, subscribing or paying for SMFFL Kids, you confirm that you are the child's parent or legal guardian, that you are at least 18, and that you agree to these Terms and to our SMFFL Kids Privacy Policy.

2. Eligibility

SMFFL Kids is open to children within the age range listed at registration. We may group, move or limit participants by age, size or skill so play stays safe and fair. We may decline or end a registration for safety reasons or for violations of these Terms.

3. Membership and billing

• SMFFL Kids is an ongoing, month-to-month program. Membership is $100 per child per month, plus any applicable tax.
• Automatic renewal. When you subscribe, you authorize SMFFL to charge your chosen payment method $100 on the day you sign up and again on the same day of each following month (your "billing date") until you cancel. There is no minimum term and no cancellation fee.
• Payments are processed by Stripe, Inc. You can pay by card, Cash App Pay, Klarna or bank account. If you choose Klarna, your agreement with Klarna also applies.
• Stripe will email a receipt for each payment to the address you provide at checkout.
• Each membership covers the Sunday sessions held during that paid month. One membership covers one child.
• Payment plans are available by arrangement with the league. Any agreed plan will be confirmed in writing.
• Each membership includes one SMFFL Kids shirt. Replacement shirts are available for purchase.
• If a payment fails, Stripe may retry it and we will reach out. A child may be paused from participating until the account is current.
• We will give at least 30 days' notice by email or text before any price change takes effect, so you have time to cancel before you are charged the new price.

4. Cancellations and refunds

• How to cancel. You can cancel at any time online through our Stripe membership portal by logging in with the email you used at sign-up, which also lets you update your payment method and view invoices. You can also cancel by emailing southmiamiffl@gmail.com or texting 786-381-7300 with your name and your child's name, and we will confirm your cancellation in writing within 2 business days.
• Cancel at least 3 days before your next billing date to avoid being charged for the next month. Your child may keep participating through the end of the month you already paid for, and no further charges will be made.
• If you cancel on time and are still charged, we will refund that charge in full.
• You may ask to pause a membership for a month instead of cancelling. Pause requests must reach us before your billing date.
• Months already started are not refunded or prorated, and missed sessions are not credited, except as described below.
• If SMFFL cancels the program entirely, you will receive a prorated refund for unused sessions in the current month.
• If SMFFL removes a child from the program for a conduct issue, no refund is owed for the current month.
• Shirts and other included items are not refundable once handed out.

5. Minimum enrollment

SMFFL Kids needs at least 15 registered children to run. If that minimum is not reached before the first scheduled session, we may postpone the start date or cancel. If we cancel, you will receive a full refund. If we postpone, you may choose a full refund instead of waiting.

6. Schedule, weather and venue

Sessions are currently held Sundays from 3 to 5 PM at Bird Lakes Park. Dates, times and location can change because of park availability, permits or holidays. We will notify families of changes as early as we can.

We will stop or cancel play for lightning, severe weather, heat conditions or field closures. When safety requires it, coaches may end a session early. We will try to schedule makeups for cancelled sessions, but a cancellation for weather or reasons outside our control does not entitle you to a refund or credit.

7. Drop-off and pickup

Please arrive on time. Supervision begins at the scheduled start time and ends at the scheduled end time. Children will only be released to a parent, guardian or adult you listed as authorized. Repeated late pickups may result in removal from the program. Please let us know in advance if someone new will be picking up your child.

8. Health and medical

You confirm that your child is physically able to take part in an active, outdoor sport, and you agree to tell us about any condition, allergy or limitation coaches should know about. Please send your child with water, sunscreen and appropriate shoes.

If your child is injured or becomes ill and we cannot reach you right away, you authorize SMFFL coaches and staff to seek and consent to emergency medical care for your child. You are responsible for any medical costs. Any child showing signs of a possible head injury will be removed from play for the rest of that day and will need clearance from you, and from a medical provider if we ask, before returning.

9. Code of conduct

SMFFL Kids is about having fun, learning and respect. Players, parents and family members agree to:

• Treat coaches, players, other families and park staff with respect
• Leave the coaching to the coaches during sessions
• Keep sidelines positive. No yelling at kids, coaches or officials, no profanity and no threats.
• Follow park rules, including rules on alcohol, smoking and vaping

We may issue a warning, ask an adult to leave the field, or end a membership for behavior that puts anyone's safety or the program at risk.

10. Photo and video

Unless you opt out at registration or by emailing us, you give SMFFL and its photography partner, Moonstone Creative Studios, permission to photograph and film your child during SMFFL Kids activities and to use those images on our website, social media and promotional materials, without payment. We will not publish your child's full name with their image. You may withdraw this permission at any time going forward, as described in our Privacy Policy.

11. Assumption of risk and release

Flag football is a physical sport. Even though SMFFL Kids is non-contact and coaches use reasonable care, there are risks that are a natural part of the activity and cannot be fully removed. These include running, cutting and falling; collisions with other players; contact with the ball; sprains, strains, bruises and broken bones; head injuries; heat-related illness; insect bites; and uneven or wet field conditions.

You understand these risks and voluntarily allow your child to participate. To the extent permitted by Florida law, including section 744.301(3), Florida Statutes, you release SMFFL, its owner, coaches, staff and volunteers from claims for injury to your child that result from the inherent risks of flag football. This release does not apply to injuries caused by gross negligence or intentional misconduct.

Every family will sign a separate participant waiver at registration, which includes the following notice required by Florida law:

Notice to the minor child's natural guardian—Read this form completely and carefully. You are agreeing to let your minor child engage in a potentially dangerous activity. You are agreeing that, even if South Miami Flag Football League uses reasonable care in providing this activity, there is a chance your child may be seriously injured or killed by participating in this activity because there are certain dangers inherent in the activity which cannot be avoided or eliminated. By signing this form you are giving up your child's right and your right to recover from South Miami Flag Football League in a lawsuit for any personal injury, including death, to your child or any property damage that results from the risks that are a natural part of the activity. You have the right to refuse to sign this form, and South Miami Flag Football League has the right to refuse to let your child participate if you do not sign this form.

12. Liability and indemnity

To the fullest extent allowed by law, SMFFL's total liability to you for any claim related to SMFFL Kids is limited to the membership fees you paid in the three months before the claim. SMFFL is not responsible for lost, stolen or damaged personal items brought to the field.

You agree to cover SMFFL's reasonable costs, including attorney's fees, for claims brought against SMFFL as a result of your or your child's violation of these Terms or intentional misconduct.

13. Governing law

These Terms are governed by the laws of the State of Florida. Any dispute will be handled in the state courts located in Miami-Dade County, Florida. If any part of these Terms is found unenforceable, the rest stays in effect.

14. Changes and contact

We may update these Terms. If we make a significant change, we will update the date above and notify registered families at least 14 days before it takes effect. Continuing your membership after that date means you accept the updated Terms.

Cookies, analytics and local storage

smffl.org does not use advertising or tracking cookies and does not run third-party analytics. If you pick "your team" on the home page, that choice is saved only in your own browser's local storage so the site remembers it. It is never sent to us, and you can clear it anytime by tapping your team again or clearing your browser data. Pages that embed or link to other services, like Game Glimpse stats, YouTube or Dropbox, are covered by those services' own privacy policies.

7. How long we keep it

We keep your information while your account is active. When you delete your account, we delete your personal information within 30 days, except what we must keep for legal reasons or to resolve disputes. Official league records, like final scores and season stats, may be kept without your account information attached.

• See, update or correct your profile information in the app at any time
• Ask for a copy of the information we have about you

• Turn notifications off in your iPhone's Settings
• California residents can also ask what personal information we've collected and ask us to delete it. We don't sell or share personal information for advertising, so there's nothing to opt out of, and we won't treat you differently for using these rights.

Email southmiamiffl@gmail.com and we'll respond within 30 days.

You can delete your account inside the app or by email. Full steps are on our Delete your account page.

11. Children

The SMFFL app is not meant for children under 13, and we don't knowingly collect personal information from them. Kids in our SMFFL Kids program don't get app accounts. If you believe a child under 13 has created an account, email us and we'll delete it.

Terms of Use

Effective October 5, 2026

1. Agreement

These Terms of Use are an agreement between you and the South Miami Flag Football League ("SMFFL," "we," "us") for the SMFFL app and smffl.org. By creating an account or using the app, you agree to these Terms and our Privacy Policy. Playing in the league is separately covered by the SMFFL rulebook and the liability waiver every player signs.

2. Who can use the app

You must be at least 13 to create an account. If you're under 18, you need a parent or guardian's permission.

3. Your account

Use your real name and keep your sign-in details private. You're responsible for activity on your account. Only claim the player profile that is actually yours. Commissioners review and approve claims and team changes, and can reject or reverse them.

4. Community rules

Trash talk is part of the game. Crossing the line isn't. We have zero tolerance for objectionable content and abusive users. You agree not to post or send anything that:

• Harasses, bullies, threatens or targets anyone
• Is hateful or discriminatory based on race, ethnicity, religion, gender, sexual orientation, disability or any similar trait
• Is sexually explicit, violent or graphic
• Shares someone else's personal information or private photos without permission
• Impersonates another person or player
• Is spam, a scam, or promotes illegal activity, betting or gambling
• Infringes someone else's copyright or other rights

5. Reporting and blocking

You can report any post, comment or user in the app, and you can block users so you no longer see their content. We review reports within 24 hours. When content breaks these rules, we remove it and may suspend or permanently remove the user who posted it. You can also report anything by emailing southmiamiffl@gmail.com.

6. Your content

You own what you post. By posting it, you give SMFFL a non-exclusive, royalty-free license to host, display and share it within the app and on SMFFL's website and social media to run and promote the league. This license ends when you delete the content or your account, except where it has already been shared or must be kept for legal reasons. Only post content you have the right to share.

7. Fantasy and Pick'em

Fantasy leagues and Pick'em are free games for fun. There are no entry fees, no paid prizes and no real-money wagering of any kind in the app. Using the app to organize betting is not allowed. Scoring is based on official league stats, and the commissioners' decisions on scoring and disputes are final.

8. League stats and media

Schedules, scores and stats are provided as a convenience and may contain mistakes. Official results are decided by the league. Game photos and video may show you, and SMFFL may use them to promote the league.

9. Our content

The SMFFL name, logo, app design and league content belong to SMFFL. We give you a personal, non-transferable license to use the app for its intended purpose. Don't copy, resell, reverse engineer or misuse the app or try to access data that isn't yours.

10. Ending your access

You can stop using the app and delete your account at any time. We may suspend or end your access if you break these Terms or put other users or the league at risk.

11. Disclaimers and liability

The app is provided "as is" and "as available." We don't promise it will always be available or error free. To the fullest extent allowed by law, SMFFL isn't liable for indirect or consequential damages arising from your use of the app, and our total liability for any claim is limited to $100.

12. Apple App Store terms

If you downloaded the app from the Apple App Store, these terms also apply:

• These Terms are between you and SMFFL, not Apple. SMFFL, not Apple, is responsible for the app and its content.
• Your license is to use the app on Apple devices you own or control, as allowed by the App Store's Usage Rules.
• Apple has no obligation to provide maintenance or support for the app.
• If the app fails to meet any applicable warranty, you can notify Apple and Apple will refund the purchase price, if any. Apple has no other warranty obligation for the app.
• SMFFL, not Apple, is responsible for handling any claims relating to the app, including product liability, legal or regulatory compliance, and consumer protection claims.
• SMFFL, not Apple, is responsible for investigating and resolving any claim that the app infringes someone's intellectual property.
• You confirm you are not located in a country subject to a U.S. Government embargo and are not on any U.S. Government list of prohibited or restricted parties.
• Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you.

13. Governing law

These Terms are governed by Florida law. Any dispute will be handled in the state courts in Miami-Dade County, Florida. If any part of these Terms can't be enforced, the rest still applies.

14. Changes and contact

We may update these Terms. If we make a significant change, we'll update the date at the top and let you know in the app. Continuing to use the app after that means you accept the updated Terms.

• Pages work on phones and at 200% zoom without losing content
• Headings, landmarks and labels are set up for screen readers

Known limitations

Some content comes from other services we don't control, including league stats from Game Glimpse, videos on YouTube, photo albums on Dropbox and sign-ups through Stripe and Game Glimpse. If any of these are hard to use, contact us and we'll get you the information another way.
